
Buying a company car should not require several trips to a dealership, a folder full of paperwork and a week spent chasing the bank. Most of the process can be handled remotely: choosing the vehicle, setting the finance terms, submitting the application and arranging how the agreement will be signed. All without leaving the office.
That does not mean clicking “buy now” and expecting the car to arrive on a transporter the following morning. A used vehicle still needs to be checked, the finance provider must assess the application, and the vehicle documents have to match the listing. A well-managed online process removes unnecessary administration. It does not skip the steps that protect the buyer.
So, what does the process actually look like?
The first step is to choose a car or van from Carmore’s available stock. The database includes passenger cars and commercial vehicles, primarily from model years 2021–2025. You can search for a specific model, but starting with the job the vehicle needs to do usually leads to a better decision.
A sales representative covering 40,000 km a year may shortlist a Skoda Octavia, Toyota Corolla or Volkswagen Passat. An installation team is more likely to need a Ford Transit Custom, Renault Master or a compact van such as the Toyota Proace City. If most journeys are in town, a large diesel may make less sense than a petrol engine or full hybrid.
Five points should be settled early:
the maximum monthly payment,
how long the business plans to use the vehicle,
expected annual mileage,
the amount available for the initial payment,
whether the car will be used for business, private journeys or both.
The photographs and listing description are only a starting point. For any used vehicle, check the mileage, year of manufacture, VIN, service history, specification and details of previous repairs. If information is missing, ask for it before submitting a finance application. Not after signing the agreement.
Two cars priced at PLN 90,000 can produce very different monthly payments. The calculation depends not only on the purchase price but also on the initial payment, agreement term and final purchase option. The vehicle’s age matters too, as finance providers usually set a maximum permitted age at the end of the lease.

The lowest monthly figure is not automatically the best deal. A high final purchase option keeps regular payments down, but that amount will eventually have to be paid, refinanced or settled in another way. A large initial payment also reduces the monthly cost, though it ties up cash that the business may need elsewhere.
Most calculations shown by Carmore are based on operating leases, generally running for 24–60 months. Business lease payments are quoted net of VAT. Look at the full payment schedule, not just the number displayed in the largest type.
Once the vehicle and finance structure have been selected, the application can be submitted. Online leasing means the required details and documents are provided remotely, with the adviser available by phone or electronically.
The exact requirements depend on the legal form of the business, its trading history, the value of the vehicle and the finance provider’s own procedures. A sole trader with several years of accounts may be assessed differently from a newly incorporated company applying for its first van.
Applicants will typically need to provide:
company details and information about the people authorised to sign the agreement,
proof of identity,
basic information about revenue and existing liabilities,
bank statements or financial records if requested by the provider,
details of the selected vehicle.
There is little benefit in sending a random bundle of certificates and statements “just in case”. It slows the review down and creates confusion. A document list tailored to the company’s circumstances is far more useful.
The application goes through an assessment. The provider checks the applicant’s details, the company’s financial position, existing commitments and the asset being financed. With a used car, the vehicle’s origin, market value and supporting documents also form part of the review.
Straightforward applications may receive a decision quickly, sometimes within the same working day. More complicated transactions take longer. This is often the case with young businesses, high-value vehicles, non-standard income sources or a history of missed payments.
Speed should never be promised before the file has been reviewed. If a document is missing, the application does not match the relevant registers or the provider raises further questions, progress will stop. In practice, more time is often lost gathering information across several emails than waiting for the credit decision itself.
A rejection from one bank does not necessarily end the search. Providers use different risk models. A negative decision may be linked to the company’s short trading history, its sector, current debt levels or the parameters of that particular vehicle.
This is not a guarantee that another provider will approve the application. It may, however, justify testing a different agreement structure or source of finance.
Sometimes a higher initial payment helps. In other cases, the realistic answer is a less expensive car, a shorter finance term or better evidence of the company’s actual financial position.
After approval, the customer receives the finance terms and agreement documents. These should be checked against the earlier calculation before anything is signed.
Review the following in particular:
the vehicle price and initial payment,
the number and value of the monthly payments,
the final purchase option,
administration fees,
insurance requirements,
early termination provisions,
charges for making changes during the agreement.
Insurance deserves close attention. The finance provider may require a policy that meets specific conditions, and arranging cover outside its proposed package can sometimes trigger an additional fee. Calculate the full cost before signing, not once the policy is already in place.
The signing method depends on the finance partner’s procedure. It may involve an electronic signature, online identity verification or paper documents delivered by courier. “Online” does not always mean one SMS code and three minutes of work. Even so, most arrangements can usually be completed without visiting a branch.
Once the agreement has been signed, all funding conditions have been met and the transaction has been settled, the vehicle can be released. Collection arrangements depend on the offer and the car’s location. It may be collected from an agreed site, while transport can be arranged in some cases.
At handover, compare the vehicle’s actual condition with the description and documentation. Check the VIN, mileage, number of keys, equipment, complete document pack and any visible damage. Inspect the paintwork in daylight. Start the engine and test the dashboard warnings, air conditioning, multimedia system and basic driver-assistance features.
If the vehicle is delivered on a transporter, photographs taken before loading and after unloading can help establish when any damage occurred. A simple habit. It can prevent a long argument later.
The handover report must reflect the vehicle’s true condition. Do not sign a clean report without recording missing items or visible damage simply because the delivery driver is in a hurry.
With complete information, an available vehicle and a standard application, the finance decision may be issued very quickly. The full transaction takes longer than the credit assessment alone. Time is also needed to prepare and sign the agreement, pay the seller, arrange insurance, register the vehicle and organise collection or delivery.
The final timescale therefore depends on several parties, not just the customer and Carmore. The most effective way to keep things moving is not especially exciting: submit an accurate application, provide the complete document set and respond promptly when the adviser has a question. That works better than calling five times a day for an update.
Buying a car online requires the same care as a transaction completed in person. The company details, bank account number and vehicle documents must all be consistent. Files containing sensitive information should only be sent through the secure channel specified by the adviser, not to an unfamiliar address copied from an unexpected message.
Do not pay a deposit based solely on a phone conversation. Read the reservation terms and check when the money is refundable. Confirm who is selling the vehicle, who is providing the finance and who is responsible for transport. They may be three separate businesses.
A price far below the market should prompt questions, not urgency. A used Mercedes-Benz E-Class or a three-year-old Ford Transit is not 30% cheaper without a reason.
